In accordance with the above, I hereby request a list of current unpresented business rates refund cheques that meet the following criteria:
· Refund cheques that remain unpresented 3 months after date of issue.
· Refund cheques that are out of date.
I would request that the list contains the following information:
· Ratepayer name (Information is only requested where the ratepayer is a company and not an
individual as I appreciate this is limited by the Data Protection Acts).
· Address of property concerned (if known).
· The date the refund cheque was issued.
· Amount of the refund.
I would anticipate much of this information is available via regular management reports from your IT system and therefore is unlikely to exceed more than 18 hours of staff time as specified in the act to comply with this request. If you wish to raise a charge for the provision of this information, please confirm the amount and method of payment required.
If the information is to be provided, the preference for format would be an excel spreadsheet submitted by email.
I would advise that this department is only advised of unpresented cheques after six months, when they are out of date. I am therefore unable to supply a list of cheques uncashed after three months. The latest list received by this department was in January 2014, and there were no out-of-date cheques in respect of limited companies. Since January, the majority of refunds have been issued via BACS.
Unfortunately, Information prior to January 2014 cannot be supplied at present as the department is awaiting the installation of an updated reporting programme to enable the extraction of such data and compilation in a usable format.
