Computer, Software, Printing of E-mails

Request

We raise the following enquiries under the Freedom of Information Act.

Computers, Software and Printing of E-mails

1. Please confirm which Operating System(s) the Council uses for its computers e.g. Windows 7, Windows Vista, Windows XP.

2. Please confirm which software programme the Council uses to handle e-mails, e.g. Microsoft Outlook 2007, Microsoft Outlook 2003, Lotus Notes (including version of Lotus Notes).

3. Is it a requirement of any of the departments of the Council to print and file e-mail correspondence (and or any attachments to e-mails), in particular the legal department of the Council. We understand that this is a general requirement of professional indemnity insurers for legal departments.

4. Does the Council have a record of the number of e-mails that are printed by the Council (whether weekly, monthly or yearly or to any other timescale); if the Council holds this information for some of the teams only then please provide this information in relation to those teams for which information is held.

5. What measures has the Council taken to reduce the amount of paper printed/ e-mails being printed, in particular the introduction of any internal procedures or the purchase of any software.

6. Does the Council have any arrangements, or is it part of anybody dedicated to reduce the Carbon footprint of the Council or to reduce paper wasteage.

1. Please confirm which Operating System(s) the Council uses for its computers e.g. Windows 7, Windows Vista, Windows XP.

3. Is it a requirement of any of the departments of the Council to print and file e-mail correspondence (and or any attachments to e-mails), in particular the legal department of the Council. We understand that this is a general requirement of professional indemnity insurers for legal departments.

This can be done although access to a case management tool is available

Does the Council have a record of the number of e-mails that are printed by the Council (whether weekly, monthly or yearly or to any other timescale); if the Council holds this information for some of the teams only then please provide this information in relation to those teams for which information is held.
